Regulations on Enrollment and Continuity in the PhD Program in Information Technologies and Their Application to Management, Architecture, and Geophysics

1.1. Official Enrollment

To pursue the program, only official enrollment at La Salle – Universitat Ramon Llull will be accepted.

This official enrollment must be requested at the La Salle Secretariat within the administrative deadline established each year. Currently, two enrollment periods have been defined during the academic year in which students can formalize their enrollment or request modifications:

  1. First: from early September to mid-October.
  2. Second: from early January to mid-February.

It is the responsibility of the PhD candidate to formalize their annual enrollment within the established deadlines.

At the time of applying for their first enrollment, students must meet the admission requirements set out in the doctoral program regulations of both La Salle and the Observatori de l’Ebre, as well as those of Universitat Ramon Llull.
 

1.2. Modifications and Cancellations

Enrollment may be changed or modified within the established deadlines only to correct obvious errors made during the official enrollment period, either by the Academic Secretariat or by the student.

The following are the accepted cases for enrollment cancellation:

  • Due to serious illness: A medical report is required; students are entitled to a refund of the corresponding enrollment fee, and it will be considered a legal withdrawal (see section 1.3.1).
  • In the event of death: The refund of the amount will be made to the heirs upon presentation of the death certificate and the relevant documentation.
    • If it is the first enrollment and the cancellation is requested within 15 days from the effective enrollment date, with all payments up to date and without having submitted the research and training plan, the corresponding amount will be refunded. This cancellation does not imply a place reservation.
    • For all other enrollments, there is no right to a refund, and the request will not be processed until the enrollment fee has been fully paid.

1.3. Withdrawals

Whenever possible, withdrawal notifications or requests must be submitted by the PhD candidate. If this is not possible, they may be submitted by a designated person, but it remains the sole responsibility of the candidate to properly manage and communicate their situation to the academic committee of the program.

1.3.1. Legal Withdrawal

According to current regulations, situations such as temporary disability, illness, maternity, paternity, adoption and custody for adoption purposes, foster care, pregnancy or breastfeeding risk, gender-based violence, or any other cause provided for by current legislation will interrupt the calculation of the duration of doctoral studies.

1.3.2. Temporary Withdrawal

  • May be requested for personal reasons for up to 2 years.
  • A justified request must be submitted and approved by the academic committee of the program.
  • During this time, the maximum time limit for program completion will be paused.

1.3.3. Definitive Withdrawal

May be:

  • Voluntary, upon prior request to the academic committee of the doctoral program, preferably during the enrollment periods.
  • Administrative (ex officio), if enrollment is not formalized during an academic year. If no justified reason is provided (e.g., illness), the institution will consider that the PhD candidate has abandoned the program.
  • Academic, in the following situations:
    • If the PhD candidate receives a negative evaluation for the second time regarding their academic progress in the doctoral program.
    • If the maximum period for submitting the thesis has expired.

In all three cases, the PhD candidate will be considered to have ceased participation in the program, thereby losing all rights associated with student status.

General Continuity Conditions

As established in the doctoral regulations of Universitat Ramon Llull, the academic committee will evaluate each student's progress within the program annually. A positive evaluation is a mandatory requirement to continue in the doctoral program.

In the case of a negative evaluation, the PhD candidate must be re-evaluated within a maximum period of six months. If a second negative evaluation occurs, the candidate will be permanently withdrawn from the program with immediate effect (see section 1.3.3).
